🤖 Getting Started with the Automations Tab in GoHighLevel

⚠️ Disclaimer: Gym Launch has already built and installed all of the core automations you need to run your client acquisition system successfully. This help document is intended to provide a general overview of the Automations tab in GoHighLevel for educational purposes—in case you choose to build or customize additional automations on your own.

No manual setup is required to begin generating leads, nurturing prospects, or booking appointments using the Gym Growth Engine system. Use this guide only if you want to explore or expand upon what’s already in place.


Your Engine for Automated Follow-Up, Nurturing, and Task Management

The Automations tab in GoHighLevel (GHL) is where you build powerful workflows that automatically respond to lead actions, follow up with prospects, update pipeline stages, send notifications, and much more.

This guide provides a clear overview of what the Automations tab does, how to navigate it, and how to build your first automation (workflow) inside GHL.

  • Log into your GoHighLevel sub-account

  • In the left-hand menu, click “Automation”

  • You’ll land on the Workflows dashboard where all your automations live

  • List View of all created workflows

  • Folders to organize automations (e.g., “Lead Nurture,” “Challenge Follow-up,” “Missed Call Texts”)

  • Search bar to quickly locate specific automations

  • “+ Create Workflow” button in the top-right to build a new one


🛠️ What is a Workflow in GHL?

A workflow is a sequence of actions that are automatically triggered based on specific conditions or events. It replaces traditional campaigns and triggers, giving you more flexibility and control.

  • Triggers: What starts the automation (e.g., form submission, appointment booked, tag added)

  • Actions: What happens next (e.g., send SMS, assign user, wait, move pipeline stage)

Let’s create a simple follow-up automation for new leads.

Step-by-Step Example: Lead Form Follow-Up

  • Click “+ Create Workflow”

  • Choose “Start from Scratch” or a template

  • Click “Add Trigger”

  • Choose Form Submitted

  • Select your lead form

  • Click “+” to add an action

  • Select “Send SMS”

  • Type: “Thanks for reaching out! Someone from our team will contact you soon.”

  • Add another action:

  • “Assign to User” → Select a sales rep

  • Add a delay (e.g., wait 1 hour), then send another message or email

  • Click “Save” and toggle ON at the top right

  • Click into any workflow and go to the “History” tab to:

  • View who entered the workflow

  • See what step they’re on

  • Diagnose errors or delays

  • Use the Test Contact feature to run through the automation before going live
