Everything You Need to Manage Appointments and Scheduling 

The Calendar Tab in GoHighLevel is your central hub for managing appointments, consultations, follow-ups, and sales calls. Whether you're a business owner, sales rep, or marketer, the Calendar tab helps streamline your booking and scheduling processes—fully synced with your funnels and automations.


đź§­ Where to Find It

  • Log in to your GoHighLevel sub-account

  • On the left-hand menu, click “Calendar”

  • You'll be brought to the main calendar dashboard


đź§± Overview of the Calendar Tab Layout

📍 Top Navigation

  • My Calendar – See all appointments assigned to you

  • Team Calendar – View calendars across users or locations

  • Unassigned – Appointments not yet assigned to a team member

  • All – See everything scheduled in the account

📆 Main Calendar Display

  • View by Day, Week, or Month

  • Color-coded appointments based on calendar or team member

  • Click any appointment to view or edit details


🛠️ What You Can Do in the Calendar Tab

âś… View Appointments

  • See past, current, and upcoming bookings

  • Filter by team member, calendar, or status

âś… Manually Book Appointments

  • Click any open slot

  • Fill in:

  • Contact name

  • Appointment type/calendar

  • Date/time

  • Assigned user

  • Click “Save Appointment”

âś… Reschedule Appointments

  • Click on an existing appointment

  • Click “Edit”

  • Change the time, date, or assigned user

  • Save your changes

âś… Cancel or Mark No-Show

  • Open the appointment

  • Choose “Cancel” or “No Show”

  • Add optional notes for tracking


đź“… How to Set Up or Edit a Calendar

Calendars in GHL are pre-configured under Settings → Calendars but you can customize them:

1. Go to Settings → Calendars

2. Choose:

  • Create New Calendar

  • OR Edit an Existing Calendar

3. Key Settings to Configure:

  • Calendar name (e.g., “Consultation Calls”)

  • Team member availability

  • Meeting location (in-person, Zoom, phone)

  • Buffer times, time zones, and limits

  • Form/booking page linked to calendar

Status

Meaning

Confirmed

Appointment is set and confirmed

Unconfirmed

Lead submitted form, but didn’t confirm

No Show

Lead missed the appointment

Cancelled

Appointment was canceled manually

Completed

Appointment occurred (marked manually)

đźš« Appointments not showing?

  • Check that you're in the correct view (My vs. All)
  • Make sure the calendar is active and assigned
  • Make sure BOTH user and calendar availability is aligned

📤 Want to sync with Google Calendar?

  • Go to Settings → Profile

  • Connect your Google Calendar under Integrations

  • Choose which calendar GHL pulls from and writes to

🔄 Double bookings?

  • Ensure availability settings and sync limits are configured properly

  • Add buffer times and max appointments per day
