👤 Guide to the Contacts Tab in GoHighLevel

The Contacts tab in GoHighLevel is your central location for viewing, managing, and interacting with your leads and customers. Every person who enters your CRM—whether through a lead form, booking page, funnel, or manual entry—appears here. This help doc walks you through how to use the Contacts tab effectively to organize your pipeline, follow up with leads, and maximize conversions.

 

🧭 Where to Find It

  • Log in to your GoHighLevel sub-account

  • From the left-hand menu, click “Contacts”

  • You’ll be taken to the main Contacts dashboard


🧱 Contacts Tab Layout Overview

🔍 Top Navigation/Toolbar

  • Search Bar – Find contacts by name, phone, email, or tag

  • Filter Options – Sort by tag, source, date added, pipeline stage, etc.

  • Smart Lists – Saved views based on custom filters

  • Import/Export – Bulk upload or download contacts via CSV

  • Actions Dropdown – Bulk tag, assign, delete, or trigger workflows


🧠 Understanding Contact Profiles

Click on any contact to view their Contact Profile, which includes:

📝 Basic Info

  • Name, phone, email, address

  • Custom fields (age, goals, lead source, etc.)

💬 Activity Timeline

  • Shows all interactions: SMS, email, calls, form submissions, workflow triggers, etc.

🧷 Tags

  • Use tags to segment and organize (e.g., “Hot Lead,” “No Show,” “Challenge Opt-In”)

📂 Notes

  • Add manual notes about calls, objections, or preferences

📈 Opportunity Info

  • Shows the Pipeline, Stage, and Value associated with this contact

🔄 Assigned Workflows

  • View or remove any workflows the contact is currently in

🧑 Assigned User

  • Assign a team member (e.g., sales rep, coach, admin) to the contact


➕ How to Add a New Contact

  • Click the “+ Add Contact” button in the top-right corner

  • Fill out the form:

  • Name, phone, email (minimum required)

  • Tags

  • Source

  • Assign to a user (optional)

  • Click Save


📥 How Contacts Are Added Automatically

Contacts can be added to GHL through:

  • Facebook Lead Form integration

  • Funnel or website form submissions

  • Calendar bookings

  • Chat widgets

  • Manual imports (CSV)

  • Zapier/API integrations


🔁 Managing Contacts Efficiently

🏷️ Use Tags

Create tags like:

  • “Consultation Booked”

  • “Challenge Lead”

  • “Long-Term Nurture”
    Tags allow for quick filtering and automation triggers.

📍 Use Smart Lists

Save filters as Smart Lists to quickly view:

  • Leads who haven’t booked

  • No-show appointments

  • Recently added leads

  • Contacts by location or interest

🚦 Assign Pipeline Opportunities

For sales tracking:

  • Click into the contact

  • Under “Opportunities,” select:

  • Pipeline (e.g., Challenge Funnel, High-Ticket Offer)

  • Stage (e.g., Booked, No-Show, Closed Won)

  • Value (if applicable)

🔔 Use Manual Actions

From within a contact or the bulk actions menu, you can:

  • Send an SMS or email

  • Add to a workflow or campaign

  • Create tasks or reminders

  • Mark as DND (Do Not Disturb) if requested
