🚀 Gym Growth Engine: Automation Setup Help Guide

🔍 Overview  This guide is for users setting up semi-automated lead nurture campaigns using the Gym Growth Engine system. If you're doing manual follow-ups, feel free to skip this setup and proceed to the next step in your onboarding.  By following this guide, you’ll be able to:  -Understand the purpose of each automation campaign  -Customize and edit messages  -Enable the campaigns for SMS, Email, and WhatsApp  -Add personalized images to increase lead conversion  -Publish only the campaigns you want to use

 

✅ Prerequisites

Before you begin:

  • Complete the Automation Setup Checklist (linked below the video)

  • Ensure your gym details and custom fields are set up in the platform

  • Collect the recommended images (see image section below)


📂 Automation Channels

You have the flexibility to use one or more communication channels:

  • Text (SMS)

  • Email

  • WhatsApp

All channels contain identical campaigns and language, so you only need to edit one version. You can mix and match channels based on your preferences.


🧩 Lead Nurture Campaign Types

Each campaign corresponds to a specific stage in the lead journey:

Campaign Name Purpose
Not Yet Scheduled Lead opted in but did not schedule—begin conversation
Scheduled Follow-Up Lead was interested but delayed appointment (vacation, injury, etc.)
Initial Appointment Confirmation First message confirming a newly scheduled appointment
Unconfirmed Appointment Reminders Request final confirmation before canceling/rescheduling
Confirmed Appointment Reminders Keep the lead reminded and motivated to attend
Canceled Appointment Follow-Up Automated re-engagement after appointment cancellation
No-Show Follow-Up Re-engage leads who missed their appointment
Reactivation Campaign Revive communication with cold or non-responsive leads
 

🖼️ Recommended Images to Add

To personalize your automation and boost show-up rates, attach the following types of images to messages:

  1. Google Maps Location Image

    • Show your gym’s location clearly (zoomed with surrounding roads/landmarks).

    • Used in: Initial Appointment Confirmation

  2. Selfie of Appointment Host

    • Personalize reminders with a photo of the coach or trainer.

    • Used in: Unconfirmed Appointment Reminders

  3. Show Magnet (Incentive Image)

    • Visual of a giveaway or item the lead receives upon showing up and joining.

    • Examples: T-shirt, blender bottle, meal plan PDF.

    • Used in: Confirmed Appointment Reminders

  4. Front Door Image

    • Show the front of your facility to build familiarity and reduce anxiety.

    • Used in: Confirmed Appointment Reminders

📌 To add images:

  • Go to the campaign message

  • Click the green message icon

  • Select Add Attachment

  • Upload your image file


🛠️ How to Edit and Publish Campaigns

Step 1: Navigate to Automations

  • Login to your Gym Growth Engine dashboard

  • Go to the Automation section

  • Click Lead Campaigns > Challenge

Step 2: Choose Your Channel

  • Select one of: SMS, Email, or WhatsApp

  • All campaigns will appear in that channel folder

Step 3: Edit Message Content

  • Click on the campaign (e.g., "Not Yet Scheduled")

  • Focus only on green icons (these are the actual outgoing messages)

  • Click the green icon to:

    • Edit the message text

    • Remove or add emojis

    • Modify language

    • Attach an image

  • Save changes at the bottom and top right

Step 4: Understand Placeholders

Messages contain double brackets like . These pull from your system’s custom values and are replaced automatically (no need to edit these).

Step 5: Turn On the Campaign

  • Toggle the Draft switch to on

  • Hit Save

  • Campaign will now activate when leads begin coming in

💡 You can choose to activate only specific campaigns and leave others off. Combine automated with manual follow-up as needed.


🧪 Best Practices & Tips

  • Review each campaign’s messaging carefully—make sure it aligns with your tone and brand

  • Add images for personal touch and better conversions

  • Don’t worry about complex logic flows—just focus on green message icons

  • You can edit or update campaigns at any time before going live
