đź§° Help Guide: How to Update Your Sales Pipeline View

âś… Why This Step Matters

Your Sales Pipeline is the central hub where all lead activity lives — from opt-ins to booked appointments, sales, and no-shows. To ensure you're not missing important data (or cluttering your view with irrelevant info), this setup is essential for daily operations and reporting.


🔄 Overview: What You'll Do

  1. Navigate to the correct pipeline

  2. Set the appropriate status filters (Open, Won, Lost)

  3. Adjust visible fields for clarity and consistency


📍 Step-by-Step Instructions

1. 🔍 Locate the Sales Pipeline

  • Log in to your HighLevel account (used within Gym Growth Engine)

  • Go to the left-hand menu and click “Opportunities”

  • Locate the pipeline labeled:
    ➤ *** Sales Pipeline (may have 3 asterisks to push it to the top)

❗ If you have multiple pipelines, ignore all others for now and focus only on “Sales Pipeline”


2. đź§® Set the Status Filters

Make sure you’re viewing all relevant opportunities, not just open ones.

  • Click “Advanced Filters” on the left

  • Under “Status”, click the ✏️ pencil icon

  • Select the following:

    • âś… Open

    • âś… Won

    • âś… Lost

  • Click Apply

🔍 Why? This ensures you're seeing all leads in motion — from new opt-ins to closed sales and lost opportunities.


3. ⚙️ Adjust Visible Fields

Keep your view focused only on the most important lead details.

  • On the right-hand side, click “Manage Fields”

  • Under the “Opportunity Details” section, select only these fields:

    Field Name Purpose
    âś… Opportunity Owner Know which team member owns the lead
    âś… Opportunity Source Track where the lead came from
    âś… Opportunity Value Shows the expected value of the lead
    âś… Opportunity Offer See what type of offer the lead opted into
    âś… Appointment Time See when the lead is scheduled
     

đź§ą Uncheck any unrelated fields (e.g., business info) to declutter your view.

  • Click Apply to save your settings


🔎 What You’ll Now See in Each Lead Card

Your updated pipeline will show:

  • 📍 Source: Facebook ad, referral, walk-in, etc.

  • đź’° Value: Based on challenge price or custom input

  • 🏷️ Offer Type: Challenge, trial, or other

  • đź•’ Appointment Time: If scheduled

All active leads will now be easy to identify, track, and move through your sales funnel.


🧼 What’s Hidden (And Why)

By default, your pipeline will hide abandoned or archived opportunities. This ensures you're only seeing:

  • Leads you can still work with

  • Sales that have occurred

  • Lost leads you may want to revisit
