This guide is your step-by-step breakdown of where to manage the chatbot, how to adjust the nudge (follow-up) timing, and what settings live where inside your HighLevel system.

Here’s a real transcript between the AI chatbot and a lead who opted in:

1. Lead Opt-In + Response

  • Lead replies: “Hey, I'm definitely interested. I just want to learn more. Yes, texting is fine.”

2. AI Activates — Motivator Discovery

  • AI replies: “Awesome! I'm here to help. What's your main goal — lose weight, gain muscle, tone up?”

  • Lead: “Toning and losing weight.”

3. Struggle Discovery

  • AI: “What’s been the biggest challenge so far — diet, routine, motivation?”

📁 Inside the Folder:

You’ll find two workflows:


1. AI Chatbot Toggle

  • This is your master ON/OFF switch for AI.

  • Do not publish it yet — wait for the official launch step.

  • Published = ON, Unpublished = OFF

When OFF, AI will not respond, send, or receive any messages.


2. Follow-Up (Nudge) Workflow

  • This controls the "nudge" message if a lead stops responding mid-conversation.

Default Settings:

  • ⏱ Wait time: 4 hours

  • 🕒 Active hours: 7:00 AM – 9:00 PM

  • 📆 Active days: 7 days/week

What You Can Customize:

Element Description
Wait Time Change to 1 hr, 2 hrs, etc.
Days Disable nudging on weekends or specific days
Time Window Limit when nudges are sent (e.g., no mornings)
Turn Nudging Off Simply unpublish this second workflow
 

💡 Nudge messages help re-engage leads who go dark mid-flow, but you can disable them if preferred.
