🎯 Purpose of This Guide This guide will explain how to:  -Access and navigate the Contacts tab  -Search, filter, and export contact data  -Understand contact tags and statuses  -Use contacts for reactivation or analysis

🧭 Where to Find It

  1. Log in to your HighLevel account

  2. On the left-hand menu, click “Contacts”

This section is your master database of all leads, clients, and inquiries who have entered your system via ads, funnels, forms, campaigns, or direct input.


📊 Contacts Tab Overview

The main Contacts screen includes a searchable, filterable list of every contact in your HighLevel system.

Column Description
Name Full name of the contact
Phone Contact's mobile or landline number
Email Contact's email address
Created At Date they were added into the system
Last Activity Most recent interaction or update
Tags Labels that describe their status, actions, or journey
 

🔎 Key Features & Functions

🔍 1. Search Bar

Use this to search for a specific contact by:

  • Name

  • Email

  • Phone number


🧰 2. Filters

Click on Filters to narrow down contact lists based on:

  • Creation date (e.g., “leads created in the last 30 days”)

  • Tag (e.g., “No-Show”, “Booked”, “Old Lead”)

  • Source of the lead (e.g., Facebook, organic, referral)

🎯 Use filters to quickly generate targeted lists for follow-ups, reporting, or reactivation.


📤 3. Exporting Contacts

You can export your filtered or full list of contacts to a CSV file to:

  • Run email reactivation campaigns

  • Share lists with your team

  • Analyze data outside the platform

To export:

  • Click the Export button (usually in the upper-right or under the three-dot menu)

  • Select the filters (if any)

  • Click Download


🏷️ Understanding Tags

Tags are auto-generated or manually applied labels that show a contact’s journey. Example tags include:

Tag Meaning
Lead - New A newly created lead
Booked Appointment Contact has scheduled a time
No-Show Missed their scheduled meeting
Showed Attended their appointment
Sold Closed and converted into a client
Cold Lead Unresponsive for a certain time period
 

💡 Tags help you segment and retarget leads effectively. They also help automation flows trigger correctly.

Reactivate cold leads Filter by “No Show” or “Cold Lead” tag → export → run SMS/email blast
Check new lead flow Filter contacts created “in last 7 days”
Audit lead source performance Filter by lead source tag (e.g., “Facebook Lead Ad”)
Bulk contact cleanup Search by tag or activity → remove or update contact info
