✅ Help Guide: Updating Your Sales Pipeline View in HighLevel (Pre-Launch Final Step)

Welcome to the last step of your pre-launch checklist for the Gym Growth Engine system. This guide ensures your Sales Pipeline is properly configured, clean, and organized — so you can track leads with clarity and confidence.

 

🚦 Why This Matters

The Sales Pipeline is your central hub for lead activity — no matter the source (ads, web, referrals, etc.).
A properly configured view ensures:

  • You see everything important

  • You eliminate unnecessary clutter

  • You stay organized during launch and beyond


🧭 Where to Find Your Pipeline

Step 1: Log into HighLevel

From your dashboard:

  • Click “Opportunities” on the left-hand menu

  • Locate the pipeline named:
    ⭐️⭐️⭐️ Sales Pipeline

    If it’s not starred or pinned, simply search for “Sales Pipeline”

This is your main and only pipeline for the Gym Growth Engine system.
🛑 Do NOT use multiple pipelines — we’ll consolidate to just this one for simplicity.


🧪 Step 2: Update Your Filters for Full Visibility

By default, HighLevel only shows Open leads. Let’s make sure you also see Won and Lost leads.

👉 Here's how:

  1. On the left-hand side, click Advanced Filters

  2. In the sidebar that opens, locate Status

  3. Click the pencil icon ✏️

  4. Select:

    • ✅ Open

    • ✅ Won

    • ✅ Lost

  5. Click Apply

Now you’ll be able to track a lead’s full journey — whether they buy, ghost, or decline.


🛠️ Step 3: Manage Visible Fields for Each Opportunity Card

Let’s make sure you only see what you need to see — no clutter.

👉 On the right-hand side, click Manage Fields

Select the following:

Field Name Why It Matters
✅ Opportunity Owner Know who’s assigned to follow up
✅ Opportunity Source See where the lead came from
✅ Opportunity Value Track estimated revenue from each lead
✅ Opportunity Offer Know what type of lead (Challenge/Trial)
✅ Appointment Time View the booked appointment date/time
 

🧹 Uncheck anything unrelated (e.g. business info, internal notes).

These fields can be searched or found under the "Opportunity Details" category.

Click Apply to save changes.


📊 What You’ll See — At a Glance

With these settings applied, each opportunity card will clearly show:

  • ✅ Lead source (Facebook ad, website, walk-in, etc.)

  • ✅ Potential revenue (based on the custom value set earlier)

  • ✅ Offer type (Challenge or Trial)

  • ✅ Appointment date/time

  • ✅ Assigned team member

You’ll also only see Open, Won, and Lost — keeping the view free of abandoned or archived leads.

✅ One pipeline: Sales Pipeline
✅ One filter view: Open, Won, Lost only
✅ Key fields displayed: Owner, Source, Value, Offer, Appointment Time
✅ All fluff removed

This simple setup ensures you and your team stay focused, organized, and ready to move FAST on lead follow-up.
