🧠 How to Set Up Automations for Semi-Automated Lead Nurture in GHL

⚠ Note: This guide is only for those using semi-automated lead nurture. If you’re doing manual lead nurture, you can skip this section and proceed to the next part of your training portal.


🎯 Purpose

This guide walks you through setting up your lead nurture automation sequences using the Gym Growth Engine (GHL) to ensure your new leads are contacted automatically through SMS, Email, and WhatsApp.


✅ Pre-Setup Checklist

Before proceeding, make sure:

  • You’ve gained access to the Gym Growth Engine.

  • You have the automation setup checklist Here.

  • Your system phone number has been approved for messaging.


🔁 The 8 Core Campaigns

Each campaign is a prebuilt automated sequence that targets a specific stage in the lead journey. These campaigns are available in SMS, Email, and WhatsApp versions.

Campaign Name

Not Yet Scheduled

For leads who opted in but didn’t schedule. Starts the conversation.

Scheduled Follow-Up

Sends messages to leads who couldn’t book now and asked to be followed up later.

Initial Appointment Confirmation

First confirmation sent after a lead books an appointment.

Unconfirmed Appointment Reminders

Attempts to confirm a booked appointment.

Confirmed Appointment Reminders

Reminders sent to confirmed leads so they don’t forget to show.

Canceled Appointment

Re-engagement messaging for canceled appointments.

No Show

Attempts to rebook no-show leads.

Reactivation

Reaches out to old, unresponsive leads to reinitiate contact.


đŸ› ïž Customizing Messages & Adding Images

To maximize show rates and engagement, personalize your campaigns by editing text and adding the following 4 recommended image types:

  • Google Maps Image

  • Snapshot of your gym’s location on Google Maps.

  • Helps leads visualize where they’re going.

  • Host Selfie

  • Picture of the person hosting the appointment (coach or team member).

  • Increases trust and familiarity.

  • Show Magnet Image

  • A visual of a giveaway or incentive (shirt, bottle, Nutrition guide) the lead gets upon showing.

  • Use even a digital PDF if no physical product is available.

  • Front Door Image

  • Photo of your gym's entrance from the street.

  • Helps with navigation and ease of arrival.


🔍 Navigating to Automations in GHL

  • Log in to your Gym Growth Engine account.

  • Go to the Automation tab.

  • Click the folder named Lead Campaigns.

  • Select Challenge (ignore the “Trial” section unless applicable).

  • Choose a channel:

  • SMS (most popular)

  • Email

  • WhatsApp

All channels use the same 8 campaigns. You may turn on any combination based on your preference.


✏ Reviewing & Editing Campaign Messages

  • Click on any campaign (e.g., "Not Yet Scheduled").

  • Focus on green icons — these are the actual message steps.

  • Click a green icon to preview or edit the message.

  • You’ll see placeholder tags like — don’t worry, these will auto-fill correctly.

  • You may remove or adjust emojis, tone, or phrasing to better match your brand.

  • Click Save at the bottom and top of the screen.


📾 Adding Images to Messages

  • In any message step, scroll to the Add Attachment section.

  • Click Add Attachment and upload the appropriate image.

  • Examples:

  • Upload your Google Maps image in the initial confirmation.

  • Insert your coach selfie in unconfirmed reminders.

  • Include your show magnet or front door photo in confirmed reminders.


🚀 Publishing Your Campaigns

  • Once satisfied, toggle the campaign from “Draft” to “Published.”

  • Click Save again to finalize.

  • Repeat for each campaign you wish to use.

  • You can mix & match automation with manual efforts. For example:

  • Automate “Initial Confirmation” but manually handle “Canceled Appointments.”


đŸ§© Flexibility: Use What You Need

You don’t need to activate all 8 campaigns. Select the ones that match your workflow, edit them as needed, and only publish the ones you’ll actively use.
