Your manual outreach follows a lead journey divided into 7 stages:

  1. Initial Contact (Not Yet Scheduled)

  2. Conversation Framework (Getting to Know the Lead)

  3. Scheduled Confirmation

  4. Appointment Reminders

  5. Post-Booking Follow-up

💬 Text Message Breakdown

🔹 Message Categories (Blue Headings)

Each section in the script starts with a scenario:

  • Not Yet Scheduled

  • After First Response

  • After Appointment is Booked

  • Reminder Sequences

  • Cancellation / No-Show Recovery

  • Lead Reactivation

🟨 Timing Tags (Yellow Highlights)

Each text includes a suggested time to send:

  • Immediately

✏️ Key Script Customizations

Before using the script, be sure to:

  • Replace placeholders like {first name}, {coach name}, {gym address}, {program name}, etc.

  • Choose and insert your Show Magnet (t-shirt, bottle, free PDF, etc.)

  • Insert Google Maps Link and photo examples of your gym’s location and front door.

  • Decide whether to use real names or create separate personas.


🗣️ Conversation Framework (Pre-Appointment)

Once a lead responds, use this simple 3-question format:

  1. Goal – “Do you have a fitness goal in mind?”

  2. Struggle – “What’s been holding you back?”

  3. Availability – “Would mornings or evenings work better for you?”

Avoid diving into pricing, schedules, or program details yet. The goal is to book a visit first.


🔔 Confirmation + Reminder Strategy

After scheduling the appointment:

  • Send Immediate Confirmation (Include time, address, Google Maps link)

  • 🧍 Coach Introduction

    • “Hey, I’m Coach ___, I’ll be meeting with you. Can you still make that time?”

    • Attach a selfie of the coach or team!

  • 📆 Send Reminders

    • 72 Hours Out – Light reminder with appointment info

    • 24 Hours Out – Send a Show Magnet message

    • 1 Hour Before – “I’m on my way to meet you” message (creates accountability)

Include photos or location descriptions like “next to Dollar General” or “across from Starbucks” to improve arrival rates.


❌ No-Show, Cancel, or Cold Leads?
