📞 Setting Up the Lead Follow-Up Calendar in GoHighLevel

The Lead Follow-Up Calendar serves a very different purpose than other client-facing calendars. This calendar is designed for internal use only—it allows your team to schedule follow-up tasks with leads, not client appointments or class bookings.


🎯 Purpose of This Calendar

  • NOT visible or usable by leads

  • Used internally by your team to schedule follow-up reminders

  • Helps maintain consistent communication with unresponsive or pending leads


🧭 Step-by-Step Setup Instructions


1️⃣ Access the Calendar

  • Log in to your GoHighLevel account.

  • Navigate to Settings → Calendars.

  • Use the search bar to find the calendar named “Lead Follow-Up Calendar.”

  • Click the three dots (⋯) → Edit.


2️⃣ Understand Key Differences

  • This calendar is not linked to any users and is not a round-robin calendar.

  • It exists independently with its own availability rules.

  • The lead will not book themselves—your team manually schedules the follow-up.

✅ Only the Meeting Invite Title might be visible to the lead if it's synced with Google Calendar, so edit this title if needed.


3️⃣ Set Calendar Availability

Define when your team can schedule follow-up reminders.

  • Example default: 8:00 AM to 8:00 PM, every day of the week.

  • You may want to narrow this window to match times when a Lead Nurture Specialist is available.

To update availability:

  • Adjust days of the week and time slots as needed.

  • Remove hours that don't make sense (e.g., late-night follow-ups at 10 PM).

  • Once your calendar is configured, click the three dots (⋯) again.

  • Select Share.

  • Copy the Permanent Link.

✅ Distribute this link to your team:

  • Save it at the front desk.

  • Share it in team chats or SMS templates.

  • Bookmark it on staff computers and phones.

This makes it easy for staff to schedule follow-ups immediately after a call or conversation—without disrupting workflow.
