📅 Updating Your Sales Calendar

For: Single Acquisition System Setup System: Organic Acquisition System (HighLevel) Purpose: Ensure proper lead routing, accurate reporting, and calendar consistency

If you're using a Single Acquisition System, this is the only calendar update you need to make. Your nurture, sales, and possibly even your automation processes will remain unchanged.

However, the Free Class Calendar—which is tied directly to your new workflows and website—must be updated to reflect your current sales availability. This ensures seamless scheduling and accurate lead tracking.


🔧 Step-by-Step: How to Update Your Sales Calendar

1. Log into Your HighLevel Account


2. Navigate to the Calendar Settings

  • On the left-hand sidebar, click ⚙️ Settings

  • Under Settings, click Calendars


3. Find the “Free Class Calendar”

  • Use the search bar in the top-right and type:
    Free Class Calendar

  • Locate the correct calendar (should match the name exactly)


4. Edit the Calendar

  • Click the three dots (⋮) to the left of the calendar name

  • Select Edit


5. Match Availability to Your Sales Calendar

You're now inside the calendar configuration. Your goal is to replicate the availability of your existing sales calendar.

Here’s what to do:

  • Keep the first section as-is unless you’re instructed otherwise.

  • Under Availability, update:

    • Days and time windows to match your sales team’s actual availability

    • Use ➕ Add Time Slots to insert multiple availability windows

    • Use the copy icon to duplicate a day’s schedule to others for quick setup


6. Match Calendar Settings

Ensure the following match your existing sales calendar:

Meeting Interval Gap between available booking times
Meeting Duration Length of each session/class
Minimum Scheduling Notice How far in advance someone must book
Date Range How far out someone can schedule
Max Bookings Per Slot Limits how many people per time slot
 

Make sure all of the above mirror your active sales calendar.

Having matching availability between your website’s “Free Class Calendar” and your internal sales calendar ensures:

  • Leads receive a consistent experience

  • Your team is pitching the same offer at the same times

  • You can accurately track performance metrics from your website (e.g., schedule rate, show rate, close rate)

7. Save Your Changes

Once you’ve reviewed and matched the availability and settings:

  • Click Save (typically top-right corner)

  • You're now ready to start scheduling with the updated calendar!

  • They will enter the correct workflow and pipeline for tracking

  • You'll be able to isolate and measure the effectiveness of your website acquisition system separately from other channels
