This help guide will walk you through how to use the GymDash platform effectively, based on the overview video. 📌 Why Use GymDash? ✅ Daily Data Entry: The Key to Success
Your GymDash board only populates when data is entered. Empty fields = missing insights. Aim to enter data daily to avoid falling behind.
🧾 Step 1: Enter Monthly Expenses
Where to go:Dashboard > Expenses
Why it matters:
Expenses are required to calculate profit/loss. Without them, your metrics and business health board won’t display correctly.
How to enter:

Use last month’s expenses as a projection for the current month.

Adjust them at the end of the month with actuals.

Enter estimates for:

Payroll Expenses

Ad Spend
-
Other Expenses (e.g., rent, utilities, etc.)

Payroll: $10,000
Ad Spend: $3,000
Other: $5,000
Total: $18,000
Click Save after entering values. You can Edit at any time.
📊 Step 2: Enter Daily Sales & Member Data
Where to go:Dashboard > Sales and Members
When to enter:
Daily, using the previous day's data for consistency. This prevents confusion (e.g., leads that arrive late at night).
Data Fields Explained:

| Paid Leads | Leads from paid advertising (FB, Google, etc.) |
| Non-Paid Leads | Organic sources like website, walk-ins, referrals |
| Appointments Scheduled | Total appointments set that day |
| Appointments Showed | Number of scheduled appointments that actually happened |
| Challenges Sold | Front-end program sales (6-week, 12-week, etc.) |
| Paid-in-Full Memberships | New PIF membership signups |
| Recurring Memberships | EFT-based membership signups |
| Conversion Appointments Scheduled | Appointments to convert front-end clients to memberships |
| Conversions (PIF & Recurring) | Front-end conversions that resulted in a membership sale |
| Signup Cash Collected | First-time payments from any source |
| Recurring Cash Collected | Regular membership billing income |
| Supplement Commissions | Supplement-related income (e.g., Prestige Labs) |
| Other Retail Sales | Income from nutrition, tanning, wellness services, etc. |
| Refunds Issued | Refunds processed that day |
| Exited Memberships | Members who canceled (PIF, Recurring, Challenge) |
| Current Memberships | Your active total in each category |
After inputting your numbers, click Save.
