Managing Permissions & Roles in Trainerize

Trainerize allows you to control access for your team and clients through a flexible permissions system. This guide explains how to navigate and customize permissions to ensure your account is optimized for both functionality and security.

 


⚙️ Step 1: Navigate to the Permissions Section

  1. From your Trainerize dashboard, click the gear icon for Settings.

  2. In the left-hand menu, select “Permissions.”

Here, you’ll see two key categories:

  • Basic Permissions

  • Coaching Permissions


🔁 Step 2: Understand One-Way vs. Two-Way Communication

In Coaching Permissions, you'll choose how communication flows between coaches and clients:

  • One-Way: You (the coach) can message clients, but they cannot reply.

  • Two-Way: Both you and your clients can communicate freely within the app.

✅ We recommend two-way for most fitness coaching relationships to encourage accountability and responsiveness.


🍽️ Step 3: Set Preferences for Meal Tracking & Compliance

Under Client Permissions, you can fine-tune how clients log meals and track progress:

  • Meal Tracking Methods:

    • Use photos within Trainerize

    • Or allow integration with apps like MyFitnessPal

  • Compliance Settings:

    • Strict Mode: Higher accountability (recommended)

    • Loose Mode: More flexible, ideal for lower-stakes clients


👥 Step 4: Assign Team Roles and Permissions

Roles determine what each team member can access or edit.

Here are the key roles:

🔑 Owner

  • Full access to everything

🛠️ Admin

  • Nearly full access (can:

    • Edit master habits, exercises, and foods

    • Export client lists

    • Manage most account settings)

🧑‍🏫 Trainer

  • Can access only their assigned clients

  • Cannot export data or change core content unless enabled

👥 Shared Trainer

  • Can manage clients shared by other trainers

  • You can customize which privileges are granted

💼 Session Manager

  • Useful for tracking and managing session credits

  • You can choose to limit this permission to this role only


🚫 Step 5: Customize and Limit Access

Trainerize gives you granular control over what different roles can do.

Examples of restrictions you can apply:

  • Prevent trainers from editing master programs or exercises

  • Allow only admins to export the client list

  • Disable visibility of Trainerize’s default exercise library

  • Restrict creation or editing of landing pages

  • Limit who can add session credits

✅ Best Practice: Review each role carefully and disable features that aren't relevant to your team members' responsibilities.

Once your permission structure is in place:

  1. When you add a new team member,

  2. Choose the appropriate role based on the access they need.
